Registration Policy

  • For each accepted paper, a regular registration until Oct 31, 2025 (23:59 CET/UTC+1) is required.
  • Student registrations cannot cover any papers.
  • If you want to cover more than one accepted paper, please contact us by email (vcip-2025 [at]
    express.converia.de).
  • Missing or late regular registration for an accepted paper results in automatic withdrawal of the paper.
  • For regular registrations, “IEEE member” includes IEEE student member.
  • Please note that registration is per person. Each person must register individually. There is no group registration, group discounts, or registration on behalf of someone.

Cancellation Policy

The same benefits apply to regular and student registrations. They include access to:

  • All technical sessions
  • Tutorials
  • Online proceedings
  • Lunch and coffee breaks
  • Welcome reception on Monday (Dec 1)
  • Winter evening get together reception on Tuesday (Dec 2)
  • Social dinner on Wednesday (Dec 3), including transfer to venue

Cancellation Policy

  • Cancellation must be requested using our registration page.
  • Cancellations received before or on Nov 15, 2025, are eligible for a refund of 100% of the paid registration fee.
  • For cancellations received after Nov 15, 2025, or for registered persons not showing up, no refunds can be made.
  • Administrative fee of € 45 will be deducted from each refund.

Legal basis

Organizers of the conference are University of Klagenfurt and its Department of Information Technology.


The organizers and their authorized representatives cannot be held liable for any damages, of whatever nature or loss of goods. Nor can they be held for any damages arising from any other defects in the accommodation or the surrounding grounds, any damage to goods or persons arising from any cause whatsoever, if and insofar as such damage or loss is not covered by third-party liability insurance taken out by the organizers. Austrian law is applicable. The place of jurisdiction is Klagenfurt, Austria.
