Presentation Guidelines

VCIP 2025 will be held in a double-track format, consisting of oral and poster sessions. Please check the technical program on the conference website to confirm your presentation type. As a reminder, papers without a live poster or oral presentation will be considered no-shows in accordance with the non-presented paper policy and will be removed from the proceedings.

Proxy Presentations

Non-Presented Paper (No-Show) Policy:
Any accepted paper included in the final program is expected to have at least one author or a qualified proxy attending and presenting the paper at the conference. If a paper is not presented at the conference, the paper will not be published by IEEE on IEEE Xplore® or other public access forums. However, these papers will be distributed to conference attendees as conference proceedings, and the copyright of these papers will belong to IEEE. For poster sessions, if the speaker is not present in front of the poster for most of the time during the poster session, this also implies the paper will be considered as not presented. Conference organizers are required to collect attendance records, produce a list of any non-presented papers, and submit it to the IEEE staff.
Exceptions to this policy will be made by the Technical Program Committee Chair(s) of the conference, together with the General Chair(s), if there is evidence that the no-show occurred because of unanticipated events beyond the control of the authors, and every option available to present the paper was exhausted.

Qualified Proxy Policy:

The presentation of papers by substitutes is highly discouraged and may only be made after permission is granted by the Technical Program Committee Chair(s), together with the General Chair(s) of the conference, based on solid evidence that none of the authors is available to present. This implies that proxy presenters must be declared in advance to the conference chairs. Papers presented by substitutes without permission will be considered as no-shows. Papers presented by substitutes who are unable to participate in the discussion and answer questions regarding the presentation will be considered as no-shows. This will be determined by the Session Chair during the conference.

Oral Sessions

Each oral presentation is allocated 18 minutes: 15 minutes for the talk and 3 minutes for Q&A. Please report to the session chair before your session begins. To upload your presentation, arrive at the session room at least 20 minutes early, find the staff, copy your files to the presentation computer, and verify that everything displays correctly. Please complete this as early as possible.

Presentation Guidelines:

  • Do NOT read directly from your slides during your talk.
  • The presentation computer runs Windows 11 with Microsoft PowerPoint. Ensure your slides display correctly on this platform.
  • Please bring your files on a USB stick.
  • If your presentation includes videos, embed them directly within your slides. 
  • Embed all fonts in your presentation file.
  • Name your file using your paper ID.

Poster Sessions

Please mount your poster 20 minutes before your session and remove it promptly after the session ends.
VCIP 2025 does not provide poster printing services.

Poster Guidelines:

  • Posters must be A0 size, vertical (portrait) orientation.
  • The design is up to the authors; please print and bring the poster to the conference.
  • If you plan to use a portable computer for demonstrations, note that power outlets may not be available. Ensure your device is fully charged.

Dataset Papers

Dataset papers will be presented as posters.

Demo Papers

For demo presentations, a desk (180 cm x 60 cm) and power supply will be provided near the poster board. You can optionally print and bring a poster for your demo. For all other aspects, please follow the guidelines outlined in the poster session above.
